Quickly finding and responding to a Showing Request from a customer can make all the difference in getting their business. You can set yourself up to receive notifications when Showing Requests come in. See Lead and Notification Settings for more info.
Find the new Showing Request in Zap
From the Zap Dashboard, follow these steps to find and review your Showing Requests:
Go to the Tasks area of your Dashboard, and locate the Showing Request.
Go to the details of the request by clicking View Details.
On the left side of your screen, you can view the property information, and you may see a message from your customer.
Respond to the Showing Request
Once you've reviewed the Showing Request, you'll want to contact your customer.
To call or email the customer, click X to close out the request.
Click on the down arrow to select to email or call them. This will take you to the Contact Summary, where you can call or email your customer to make an appointment.
Update your records
To keep track of the status of your Showing Request, it can be helpful to update the status of the request in Zap. To do this, follow these steps:
Click on View Details again.
If you were unable to reach the customer, but want to remember that you responded, change the status to “Responded,” then Save. The request will be removed from Tasks.
If you were able to make an appointment to show the property, you can change the status to “Scheduled” and select the day and time, then Save. The request will be removed from Tasks.
Look up Showing Requests
You may want to find a Showing Request that you have responded to, or scheduled, so that you can follow up with the customer, or update your records. Follow these steps:
Click on Business, in the Navigation Panel.
Select Showing Appointments.
Locate your Showing Request. You can search by the address of the property, or by the Contact's name. You can also filter the list by appointment status and time frame.
Once you've located the Showing Request, click View Details.
Update the status using the drop down menu on the left side of your screen, and save.
