Adding Contacts to Zap

Entering your Contacts into Zap helps you manage your communication with them and allows you to easily create accounts for them on your agent website.

 

 

Add contacts one by one

To add Contacts to your Zap Contact Pool, follow these steps:

 

Desktop

1. Click on + Add in the top navigation panel and select New Contact.

2. Hover over New Contact and select  Individual Contact. This will bring you to a modal where you can fill in your contact’s information.  

3. Enter the required fields for your contact.

 

  • Contact’s first and last name
  • Client Type (Buyer, Seller, Buyer and Seller, or Renter)
  • Status (New, Hot, Incubating, Cold, or Closed)
  • Email Address, Phone Number, or Both

4. Enter the optional fields for your contact.

 

  • Lead Source can help you track where your business is coming from.
  • Notes can help you remember information about your contact.

5. Click Continue once you’ve filled in all your information.

6. Zap will automatically send an email to your newly entered Contact to let them know that you have created a website account for them. The email will also contain their login and password. Click Continue.

7. You can add a personalized note by clicking into the field provided. Once finished, click Send Email.

 

Mobile

1. Access Contacts from the bottom navigation.

2. Tap the plus icon in the bottom right corner and select New Contact.

3. Enter the required fields for your contact.

4. Enter the optional fields for your contact.

5. Tap Save on the top right corner.

Mobile

Import contacts into Zap directly from your phone’s address book.

 

1. Access Contacts from the bottom navigation.

2. Tap the plus icon in the bottom right corner and select Import Contacts.

3. Zap will pull contact information from your phone’s address book. Find the contacts you’d like to import:

 

  • Scroll through to find your contacts alphabetically.
  • Search for a specific contact using the search icon in the top-right navigation.
  • Select all your contacts by tapping the three vertical dots in the top-right navigation. Then tap Select All.

4. Tap Import Contacts on the bottom navigation.

 

Add leads you've accepted to Zap

All leads that are routed to you and that you accept will be automatically imported into Zap for you.  In addition, at the time of import, they will receive an email communication letting them know that they have a website account ready for them on your agent website, with their login and password.   

 

Add your LeadRouter database to Zap

If you had been using LeadRouter previously, all of the leads you have collected there over time have already been automatically imported into Zap for you.

In addition, all of those leads have received an email to let them know that you have created a website account for them on your new agent website, with their login and password.  

You can find these leads at any time by clicking on Search and typing in their name.

Is there a limit to the total number of contacts an agent can have?

 Hi Robert,

There is not a limit of contacts a agent can have. I have seen some agents have about 45k the only thing is that system takes a while to load up all the contacts.

I am trying to figure out how to have my receptioinist enter a new contact for a phone call and assign to the duty agent.

Mike,
This can likely be done now by your "receptionist" via LeadRouter and the "Lead Entry" flag on their User profile. Someday in the future the feature/ability "may" be available for admins directly in the Zap Dashboard.

Double check if they have the "Lead Entry" option on:
Via LeadRouter Settings > Users > name of the user > click Edit or their name > Check "Lead Entry" on under Flags and Save:

Once the user has  the "Lead Entry" role they can toggle to "Lead Entry" view/entry via the top right caret mark. *If they are already logged into LeadRouter have them log out and back in for the changes to apply.
